Terms and Conditions
These terms govern your Caya Academy account and your use of this portal.
Each competition has its own separate terms. Deadlines, eligibility, format, rules on the day, results, the awarding body and refund arrangements differ between competitions, and are shown on that competition's page. You accept them when you register a participant for that competition — not here. Where a competition's terms conflict with these, the competition's terms apply to that competition.
1. Who we are
The portal is operated by Caya Academy Sdn Bhd (Company No. 1240452-H), Block C10-05, Setiawalk, Persiaran Wawasan, Pusat Bandar Puchong, 47160 Puchong, Selangor, Malaysia.
In these terms, "we", "us" and "our" mean Caya Academy Sdn Bhd. "You" means the person holding the account. "Participant" means a student entered into a competition.
2. Your account
You must be at least 18 years old to hold an account. Accounts are held by parents, guardians and teachers — not by participants themselves.
You are responsible for keeping your password confidential and for activity carried out under your account. Tell us promptly if you believe your account has been accessed without your permission.
You may register as a parent or guardian, or as a teacher. Teacher accounts can register groups of students, which carries the additional obligations in section 4.
We may suspend or close an account that is used to submit false or fraudulent registrations, to access the portal without authorisation, or in breach of these terms.
3. Accuracy of information
All information you provide must be accurate and complete. Incorrect or incomplete details — particularly a participant's name, date of birth, school or year — may result in a participant being placed in the wrong level or session, and may result in disqualification under the relevant competition's rules.
It is your responsibility to check the details before submitting, and to tell us promptly if anything changes.
4. Registering on behalf of others
If you are a parent or guardian, you confirm when registering that you are the participant's parent or legal guardian, or that you have their parent's or guardian's permission to submit the participant's information to us.
If you are a teacher registering a group of students, you confirm that:
- you are authorised by your school to register those students;
- you have obtained consent from the parent or legal guardian of every student you register, permitting their personal data to be submitted to us for the purpose of the competition; and
- your school holds a record of that consent and can produce it if asked.
You must not submit a student's personal data to us without that consent. This applies however you submit it — individually, by bulk upload, or by any other means.
5. Competitions and their own terms
This portal lets you register participants for competitions. Each competition sets its own:
- entry deadline and eligibility
- format, schedule, sessions and venues
- rules on the day, including punctuality and any technical requirements
- awarding body and how results are issued
- fee and refund arrangements
Those terms appear on the competition's page and at the point you register. Registering a participant means accepting that competition's terms for that participant. Registering for one competition does not commit you to any other.
Results are issued by the awarding body named for each competition. Where that body's decision is stated to be final, we cannot change it.
6. Fees and payment
Competition fees are shown in Malaysian Ringgit on each competition page and are payable at the time of registration. Where an early-bird price applies, it applies only to registrations completed and paid before the stated deadline.
Payment is processed by our payment provider. We do not receive or store your card or banking details.
Some competitions are free to enter. Where a competition is free, the registration is confirmed immediately and no payment step applies.
A registration is confirmed only once payment has been received and confirmed. Places in a given session or venue may be limited and are allocated as registrations are confirmed.
Confirmation. After payment is received we send a confirmation by email to the address on your account, and the registration appears in your account. If you have not received a confirmation and it does not appear in your account within 5 working days, contact us using the details in section 13.
Certificate reissue. Results and certificates are available in your account. If you need a certificate reissued later — a replacement copy, or written verification of an earlier result — we can usually provide one, subject to an administration fee. Contact us using the details in section 13, and we will confirm the fee before doing anything.
7. Refunds
Refund arrangements are set by each competition and shown on its page. Unless that competition states otherwise, fees are non-refundable.
If we cancel a competition and cannot offer a replacement, we will refund the fee.
8. Communication
We communicate with you by email, and — where a competition uses one — through that competition's WhatsApp or Telegram announcement channel.
Email is the primary channel. Anything essential is sent by email and shown in your account, so you do not have to join a messaging channel to take part. Announcement channels are there for faster updates on the day.
It is your responsibility to check for updates. We are not responsible for a participant missing a session or an instruction because an announcement was not read.
Marketing messages about future competitions and classes are separate and optional. You choose whether to receive them, and you can change your mind at any time. Declining has no effect on any registration. See our Privacy Notice.
9. Photography and video
We photograph and film participants during our competitions, and use those images to promote Caya Academy — in printed materials, on our website and on social media.
If you do not want a participant to be photographed or filmed, tell us in writing before the competition and we will exclude them. Email admin@english.edu.my with the participant's name and the competition they are entered in.
You can also ask us at any time afterwards to stop using a particular image, and we will remove it from anything we control.
Asking us not to photograph a participant has no effect on their registration, session, results, or standing in any competition. See our Privacy Notice for more detail.
10. Intellectual property and acceptable use
The portal, its contents, and competition materials including question papers belong to us or our licensors. You may not copy, distribute, record or republish competition materials.
You must not attempt to gain unauthorised access to the portal, disrupt it, or use it to submit false or fraudulent registrations.
11. Liability
We provide the portal with reasonable care and skill. To the extent permitted by law, we are not liable for indirect or consequential loss. Nothing in these terms limits liability that cannot be limited under Malaysian law.
12. General
Privacy. Our handling of personal data is governed by our Privacy Notice, which forms part of these terms.
Changes to these terms. We may update these terms. When we make a significant change we will publish the updated version here and ask you to review and accept it the next time you sign in.
Governing law. These terms are governed by the laws of Malaysia, and the courts of Malaysia have jurisdiction over any dispute arising from them.
